How to request a reimbursement for your gas expense. Fill your tank at the start of the trip, record your name, the date and the odometer reading on the gas receipt. Fill your tank again at the end of the trip when you return home, again record your name, the date and the odometer reading on the receipt. Submit both receipts to the treasurer, Bruce Yoder, for reimbursement. If you had to purchase gas during the drive there or back, include that receipt also. You will be reimbursed for your fuel purchased other than the initial fill at the start of the trip. This will represent your actual fuel used. Requests for reimbursement should be submitted within thirty days of the event. You are not required to request reimbursement. However if you need reimbursement in order to attend shows, by all means, please do so. Your attendance at the shows is the key. The board thanks you if you do not need to be reimbursed and remember that non-reimbursed miles are deductible as a charitable contribution on your Federal Income Tax return if you itemize deductions. Please car pool if possible.
How to request mileage reimbursement if you haul the trailer to an event. Record your odometer reading when leaving the garage (or other departure point)and again upon the return after the show. Calculate the miles driven and submit a request for reimbursement at 48 cents per mile. As a alternative, you can submit a Mapquest or other similar mapping report that shows the miles from the departure to the event and back again.
If you carry regimental equipment in your vehicle to an event at the request of staff, you can follow either the procedure for gas reimbursement or for mileage reimbursement at 22 cent per mile, whichever is greater.
Requests can be given to me in person at events, or by mail to my home at: 4736 12th Av S, Minneapolis MN 55407. Or by email if you scan the receipts and submit them as attachments. I would not trust carrier pigeon, (we have cats) or delivery by trebuchet (accuracy issues)

Clann Tartan Board Meeting, April 15, 2008 Board Members Present: Julie Yoder, Bruce Yoder, Cate Hesser, Betsy Bolton, Glenn McDavid, Marty Byers, Sean McCanna Staff Members Present: Mia McDavid, Lisa Gillstrom McCanna Minutes of the March Meeting were accepted as corrected. REPORTS VP: Flyers are in the Sutlery box in Baldwin. Need to get copy for the next version. Need to get the contact information for Bryce to make him an official member TREASURER: Insurance notes: Our liability is fixed. There may be something that can be done about property. Do we need insurance for everything? It is not clear that this will make a difference. Financials: The fiscal year just ended made up our deficit for the previous two years and them some. CAMP REP/COMPANY REP: No news (is good news). QUARTERMASTER: One source for pike heads that seemed really promising did not come through. The Quartermaster was directed to proceed with the budgeted amount. The trailer has been inspected. One fender looks rather ugly, but is fundamentally OK. We have the priming flasks for the bandoliers. The scouring stick is also done. We need powder flasks and are looking for a source. Gunpowder supply: We have 4 cans of FFF and 8 of FFF. No FF for the mortars. There was some discussion about what we should get, but since muskets, as we use them, can take FF, we decided to order 25 lbs. of that. The powder requirements will be documented and kept with the magazine for future reference MUSIC GUILD: Going well. Still one day a month, but thinking about a 2nd monthly meeting. This would be on another day of the week and at another location. DANCE GUILD: Going well. Learning new dances. FIBER GUILD: Nobody has showed for the last two meetings. HISTORIC SITE: Still snowed in. Work weekends have been scheduled. SWORD GUILD: Plan to meet at muster. In June will meet on Thursday in Marty's front yard. Also thinking about a monthly meeting in Baldwin. Marty will discuss that with the Wisconsin members GARDENING GUILD: No report. Lisa will work with Mia on a meeting. EVENTS 4/19. Camp Drill. Need people and wood sealant. 4/25-26. Charles City. Haulage is under control. 5/2-3 Woodville. Got a discount at a local grocery store. Will be getting $2 per student, so we expect about $250. 5/17. Minnesota Scottish Fair and Highland Games. Need feedback from Liz about the schedule. Marty will haul the trailer down on Thursday. 5/23-26 O'Duggan weekend and 5/30-6/1. Muster at McGowan's in Mankato. Clann will pay for food at O'Duggan's. Can we do both events? The decision was we should. [Subsequently reversed when staff determined this was not workable. Muster was postponed until later in the year.] 6/14-15. Twig. This is definite. 7/18-20. Dun Gowan Tactical. 8/1-3. Deer River. Looks like this is on. 8/??. Some show in one of the Dakotas. Too far away. 8/??. Perham. As last year. 10/2-5 Big Island. No news. 10/9-11 Mankato History Fest. No change. 10/14-19 Big Muddy (Winona). We need to send Luke our offer and see what he says. 11/?? St. Andrew's in Fargo. They want us back. There is a possible event in Roberts, WI, (near Baldwin). OLD BUSINESS Web site. E-mail is an absolute necessity, but we may be able to do that with Yahoo or MSN. Lisa is in communication with John about web site issues.

Dance will meet at Lake Hiawatha Neighborhood Center, 2701 E 44th St Minneapolis.
It is at the corner of 27th Av S and E 44th Street. Both streets are one way. That block of 44th between 28th and 27th Avenues is one way westbound and that block of 27th Av between 44th and 43rd Streets is one way northbound. You must enter turning west onto 44th St from 28th Av and exit from 27th Av onto 43rd St.

Saint Christopher's Episcopal Church, 2300 N Hamline Ave. in St. Paul.
It is at the northeast corner of Highway 36 and Hamline Avenue (Hamline is between Snelling and Lexington). The church is actually encircled by the highway entrance ramp.
The Dance Guild gathers weekly from 7PM-9PM to learn and practice historic Scottish country dances.

Clann Tartan has our own historic site near Duluth MN. Dun Gowan is an ongoing project,
which is the site of Gaffneyis Annual Tactical in July. We are finishing the fort and beginning the

The following is a list of the dates of the events that are currently on the schedule for this year. The staff has met and decided to keep this running list of events in the newsletter to give you a chance to get an idea of what is going on this season as well as keep you updated to changes in the schedule.
The column titled status will include the following information.
Tentative- this means that an event organizer or Clann has expressed a strong enough interest in doing this event that it warrants reserving space on the calendar for the event.
Pending- this is the next stage of an event. This means that the Contracts Administrator has entered serious discussion about Clann doing an event but we are still not committed to the event. You should however if possible think about whether or not you may be able to attend this event.
Scheduled- this level means that the board and staff have approve the event and we are committed to providing manpower to making the event happen. When an event is assigned this level please let Julie know as soon as possible if you can or can not attend this event.
Canceled- This means that for various reasons an scheduled event has been removed from the current season. We will try and give as much notice as we can prior to canceling an event.

~ From Duluth: From Interstate 35 and U.S. Highway 53. Take U.S. Highway 53 North to County Highway 7 (also known as Industrial Road). Turn left on County Highway 7 and continue on to McGregor Road. At McGregor Road turn right and proceed to the Olde World Renaissance Faire entrance on your right. Distance is approximately 19 miles.
~ From Grand Rapids: From U.S. Highway 169 and U.S. Highway 2. Take U.S. Highway 2 South to State Highway 33. Turn left on State Highway 33 and continue on to County Highway 7 (also known as Industrial Road). Turn right on County Highway 7 and continue on to McGregor Road. At McGregor Road turn left and proceed to the Olde World Renaissance Faire entrance on your right. Distance is approximately 69 miles.
~ From Virginia: From U.S. Highway 169 and U.S. Highway 53. Take U.S. Highway 53 South to County Highway 7 (also known as Industrial Road). Turn right on County Highway 7 and continue on to McGregor Road. At McGregor Road turn right and proceed to the Olde World Renaissance Faire entrance on your right. Distance is approximately 50 miles.
~ From Minneapolis/Saint Paul Area: From Interstate 694 and Interstate 35. Take Interstate 35 North to the State Highway 33 exit going to Cloquet. Follow State Highway 33 thru Cloquet and continue on to County Highway 7. Turn right on County Highway 7 (also known as Industrial Road) and continue on to McGregor Road. At McGregor Road turn left and proceed to the Olde World Renaissance Faire entrance on your right. Distance is approximately 145 miles.

The Pioneer Village Museum is about 2 hours East of the Twin Cities, about 1 hour North of Eau Claire and about 2 hours South of Superior. To the left is a broad overview of the area.
This is a local view of the location of the Pioneer Museum. When traveling from the West, take Hwy 8 through Barron and turn left on County W. From Hwy 53 at the Cameron-Barron exit, go West on Hwy 8 to County O (County O is 18th St). Turn North on County O to County W. Turn Right or East on County W.
From Hwy SS or Cameron or coming from the East on Hwy 8, take Main Street West through Cameron to the Museum. There is a large sign with an arrow on it next to the Museum.
DIRECTIONS:
From Duluth, Minnesota- Take US Highway 53 northwest out of town - take a right turn on the Ugstad Rd./Lavaque Rd. Bypass, and travel north about ten miles. Take a left turn on the Fish Lake Road, and travel west about 3/4 miles. At this point I am the only house on the right hand (north)side of the road.
From Mineapolis/St.Paul, MN-
Travel north on Interstate 35 out of the Cities for about two hours or so. After you pass the Esko/ Thompson exit, but before you get to Duluth, take the Midway Road exit. Turn left on the Midway road, which will head you north. Continue north on the Midway Road for about 12 miles or so; crossing three stoplight intersections, and then you will come to a stop sign. Turn right there onto County Road 9, the Martin Road. Travel east on the Martin road for three miles and take a left turn onto the Lavaque Road. Travel north on the Lavaque Road, for about 7 1/2 miles until you come to the Fish Lake Road. Make a left turn there, and travel west about 3/4 miles. At this point I am the only house on the right hand (north) side of the road.
